When we pay you (Schedule)

This guide was created by me (Coldbeat), using parts and information available at our distributors (Symphonic Distribution) page help desk.

It was important to me to share this information as a blog post/ article because it will answer a lot of questions, which I get very often from artists, both signed and not signed with us. in addition, it's important to mention that the information available here may be different from the information you'll find on the Symphonic Help Desk page, that's because our deadlines and thresholds are different, the reason is quite simple, in order to pay artists, we have to get paid and we need extra time to process the information once we get it.

Now let's see the basics and how it works.

1. When do I get paid?

Coldwave Records pays artists on a quarterly basis. We receive the reports from our distributor within 35-45 days after a quarter ends, we start processing the information we receive after that and it may take 45-90 days after the end of the quarter for us to report to artists. Below you will find estimated report loading dates so you can be aware as to when you will get reports. In order to get reports you must be a Coldwave Records signed/ released artist and have access to our Newsletter (e-mail report) system to not only view but to receive payment.

We can only pay royalties based on us receiving reports and of course payment from the partners that we distribute your material to.

Estimated Dates For Royalty Postings Are:
Quarter 1 (Q1): May 15th - Jun 30th (This covers January 1 - March 31)
Quarter 2 (Q2): August 15th - September 30th (This covers April 1 - June 30)
Quarter 3 (Q3): November 15th - December 30th (This covers July 1 - September 30)
Quarter 4 (Q4): February 15th - March 30th (This covers October 1 - December 31)

Note: The dates above are estimates. We nor any other record label company cannot control when the partners will provide us the reports and specifically payment. We will continue to do our best to report as quickly as possible.

2. Why do you report 45-90 days after a quarter?

Our distributor receives many reports 30 days after a quarter ends and with some partners, it takes them (our distributor) up to 60+ days to receive reports after a quarter ends thus, they need the time to validate the reporting and further, ensure that the funds have arrived to them prior to paying them out. For this reason they pay us 35-45 days after a quarter ends and they're hopeful to switch this to Monthly for the partners that are starting to pay and report on a monthly basis.

Now remember that we, the record label, will need an additional amount of time (45-90 days after the quarter ending) to process the information once we get it from our distributor.

3. Why can't you pay me daily, weekly, and/or monthly?

Our distributor receives reports at many different types of a day, week, and month. With them receiving the report, it doesn't mean they have the funds that accompany that report to pay. Often times they may have to wait 60 days for them to receive the payment in the first place.

Our distributor will continue to work with partnerships and as of this post (written on 11/16/2016) they will be aiming to switch to monthly reporting and accounting in 2017.

Essentially, the short answer here is that they (our distributor) can only pay (thus we, the record label, can only pay the artists) when they have the report and the funds. If they advance everything then they run the risk of not being in business which directly impacts us, the record label.

Lastly, they (our distributor) may receive daily sales trends but they don't from any partner receive any royalties daily. In fact, no distributor receives any payment daily. They are aware of CD Baby claiming to pay "weekly" but please note that they (CD Baby) are only paying you weekly sales off CDBaby.com and are not getting weekly sales from iTunes, Spotify, etc. No distributor receives weekly royalty payments.

4. Do I get a notification?

We typically will send out a message via Newsletter (e-mail message, so make sure you are getting our e-mails and make sure you have our address coldwaverecords@live.com in your safe list of contacts) to notify you that statements are ready. You also receive a message when we have received your invoice. You can always expect reporting 45-90 days after a quarter ends and soon after your request, payment.
